How do I Update my Company's Web Listing (Logo, Description, or Links)?

Log into the Exhibitor Resource Center to update any information for your company or booth profile. The link for the ERC will be in the email sent directly from Map Your Show. If you need the login email resent, contact rachel@aeecenter.org.

What do I do if My Logo will not Upload?

How do I Submit an Abstract to Speak on the Conference Program?

Programs are typically finalized 4 months prior to the event, but please reach out to the Speaker Coordinator for remaining available opportunities.

Are there Discounted Hotels for this Event?

Yes! AEE has partnered with several hotels and the information can be found here. We encourage all attendees to book directly through our partner hotel links. Where do I Order Booth Materials (Tables, Carpet, Chairs, etc)?

You will order through our general contractor, Shepard. You will receive a login email directly from Shepard to access their exhibitor portal, which will have all the information you need to place your order. If you have used Shepard for a previous event, make sure the correct show is selected, at the top right of the page.

Do I Have to Rent Carpet?

Floor covering is required for AEE Exhibits. The ballroom where the expo is held at Meydenbauer is already carpeted, so renting carpet for this event is not necessary. While this is a great option to balance your event budget, I would personally recommend renting the carpet to set your booth apart from the rest of the expo.

Where do we Ship our Booth Materials?

We totally understand the rising costs of expo participation and would like to protect your investment to the best of our ability. One way to do that is to recommend using the Shepard Advance Warehouse for your booth materials. This is the best way to ensure your materials are exactly where they should be, when they should be there. Using a 3rd party shipping company can be fine, but we have the most control over materials being shipped through Shepard's logistics. This goes for inbound and outbound shipping.

Can I Just Bring My Exhibitor Materials with Me?

If you have a small load to bring in, you are more than welcome to hand carry your items inside the building. See the Onsite section below for detailed instructions for exhibitor parking. If you have heavy equipment, more than a single load to transport, or you will have difficulties bringing in the materials, I highly suggest using Shepard's material handling services. If you need to use the loading dock, that must be arranged with Shepard.

What is Lead Retrieval?

Lead Retrieval is a technology system utilized to capture attendee information, contained in the QR code on the attendees' badges. The QR code is scanned, allowing exhibitors to quickly and accurately collect contact details and other relevant data. This streamlines the process of gathering leads, making it easier for exhibitors to follow up with potential customers after the event.

Do I Really NEED Lead Retrieval?

We strongly recommend it! As an exhibitor, AEE utilizes this technology at every event, as it is helpful to remember exactly who you spoke with. You can make notes within the app, so you know exactly what you need to follow up with so your communications can be as specific as possible. MUCH more efficient than the old days of collecting business cards or making notes in a notebook.

Where do I Order Lead Retrieval?

You will order Lead Retrieval services directly through AEE. It will be invoiced through Map Your Show and instructions for implementation will follow. Please email rachel@aeecenter.org to order.
For AEE West, a lead retrieval order is $325 per 5 licenses (1 license per device used for scanning). We will not have devices to rent, so you will need to download the app on your own device with cell service and/or WiFi. As a reminder, Meydenbauer has free WiFi throughout, but sometimes in an expo hall, it is not super reliable 100% of the time. You can order your own WiFi through the Meydenbauer Center.

Which Lead Retrieval Service does AEE Use?

We will be using A2Z lead retrieval services, through our registration and event app provider Bizzabo. Here is more information on using A2Z lead retrieval.

Where do I Order Electric or Other Utilities?

Meydenbauer Center is the exclusive provider of all electrical and plumbing (air and water) services. You will order these services directly though the convention center.

Will I Need to Order Internet or will there be Free WiFi?

There is free WiFi throughout the convention center. If you will be using internet for a critical part of your exhibition, it is recommended to purchase dedicated upgraded internet service.

How Many Complimentary Passes are Included with my Booth or Sponsorship Package?

The number of complimentary passes depends on the size or tier of your package. Below are the general guidelines, but note that if you have a customized package, these numbers could be different.

Can Booth Staff and/or Conference Attendees be Registered On-Site?

Absolutely! If there is anyone that did not make pre-registration, they will just register on-site when they check-in for set-up.

Does my Booth Staff Count Towards my Complimentary Attendee Total?

If your booth staff is not attending the technical sessions, they will not count towards your total number of complimentary conference attendees included in your sponsorship/exhibitor package or corporate membership.

How Many Booth Staff Can our Team Have?

Booth staff passes are unlimited, as long as they will only be in the expo hall. If they would like to attend the technical sessions, they will need a conference registration.

How do I Register my Attendees and/or Booth Staff?

Pre-Registration Forms can be found below. You can forward the link to each individual and have them pre-register themselves or you can submit on their behalf. This form can be submitted multiple times. Once the registration has been fully processed, the attendee will receive a confirmation email.

Who Can Use the Complimentary Conference Pass(es)?

These can be used for staff, clients, customers, colleagues, interns, or associates. They are yours to give as you please!

Can I Purchase Lunch Tickets for Multiple Booth Staff with One Transaction?

Yes! This can be done through our Bizzabo registration platform during the registration process or as a modification. Contact Ian Oliver (iano@aeecenter.org) for questions or assistance.

Can I Add Lunches to Existing Registrations?

Of course! On your registration confirmation, there is a link to modify the registration. You will add lunches through this process. Contact Ian Oliver (iano@aeecenter.org) for questions or assistance.

Where Can I Park at the Convention Center?

Meydenbauer Center offers a 3 level underground parking garage with 434 parking stalls and 6' 9" clearance. Additionally, the garage houses 9 disabled parking stalls next to our building elevators for convenience. ADA parking stalls are reserved next door at The Bravern for overheight vehicles. Parking payment methods may vary depending on the unique nature of an event.

Are there Additional Transportation Options?

Check out the Metro's commuter services at the King County Metro website. The Bellevue Transit Center is approximately one block west of Meydenbauer Center on NE 6th St and 110th Avenue NE providing quick and convenient access to most Seattle-King County area transit routes.

The Bellevue Downtown Link light rail station is directly across NE 6th Street.

Exhibitor Move in/Move Out

The most convenient option would be to use Shepard's advance warehouse for your booth equipment. That way, your materials are waiting for you at your booth when you come to set up. If you will be bringing your own materials, here are your options.

  1. Parking Garage - Vehicles without trailers, and those that are no higher than 6' 9" should use the designated load/unload area inside the Meydenbauer Center garage. During posted hours, the reserved exhibitor load/unload area on Level P1 is serviced by a convenient freight elevator that provides access directly to the Exhibit Hall floor.
  2. Exhibit Hall Roll Door - Vehicles that are higher than 6' 9" or those with trailers may use the outside area along the north side of the Exhibit Hall if arrangements are made in advance.  Because of space limitations, vehicles should be unloaded as quickly as possible then moved to alternate parking areas.
  3. Exhibit Hall Loading Dock - The 3 bay loading dock is reserved for larger vehicles that can easily transfer a load to a 48" high platform. For efficiency, vehicle arrival times WILL BE SCHEDULED THROUGH SHOW MANAGMENT.

Meydenbauer Center will provide flatbed carts for use during move-in/move-out on a first-come, first-serve basis. Flatbed carts are not intended for use in the passenger elevator. To avoid congestion and delays, exhibitors are encouraged to bring their own wheeled equipment to help with freight movement.
